How to Capture Images Using Ricoh PaperStream ClickScan for Quicklist+

For capturing a large number of card images quickly, we recommend using an automatic document feed scanner that is designed to process thicker cardstock.

There are a number of scanner options in the market to choose from. In our testing, we’ve found success with the Ricoh fi series, particularly the fi8170. Here are instructions on how to use the fi8170 to quickly and easily create high quality card images for import into Quicklist+.

One of the applications that comes with all Ricoh scanners is PaperStream ClickScan. You’ll want to make sure that it’s installed on the computer connected to your scanner. If you haven’t already, you can download it here: https://www.pfu-us.ricoh.com/scanners/fi/solutions/paperstream-clickscan.

One-Time Setup: Configuring Your Scans

Before you start scanning, we recommend setting up your scanning configuration for optimal output. You should only need to do this once.

When you open ClickScan, you’ll see the screen like the above. Ensure that “Follow Advanced Settings” is selected for each of the options except the last one, which should be set to “JPEG."

From here, click on the “Advanced Settings…” button.

You’ll see a screen with a number of different configuration menus (“Basic,” “Image,” etc.). Let’s walk through what you’ll want to set each one to.

Basic:

  • Image Mode = Color
  • Paper Source = Feeder (Front Side)
  • Resolution = 300 dpi
  • Paper Size = Letter
  • Carrier Sheet = Off
  • Front/Back Merging = Off

  • Tone Adjustment = Automatic
  • Color Adjustment = Prioritize Contrast
  • Cleanup = Off
  • Vertical Streaks Reduction = Off
  • sRGB Output = Off
  • Inverted Image = Off

And a few more…

  • Multifeed Detection = Detect
  • Action = Stop and Show Image
  • Condition= Overlapping
  • Paper Protection = Hardware Setting
  • Pre-Pick = On

Batch

  • Assisted Scan = Off
  • Continuous Scan = Automatic
  • With this feature enabled, you can continue to feed additional batches of cards through the
  • scanner, once the initial batch completes. When new cards are detected in the scanner, it will automatically resume scanning operations.
  • Job Control = Off
  • Patch Code Detection = Off
  • Barcode Detection = Off
  • Automatic Profile Selection = Off

Endorser

  • Digital Endorser = Off

  • JPEG Compression = 4

Once you’ve set all of the settings above, click on the disk icon to save the profile. Name it something you'd associate with Quicklist+ image scanning (e.g. Quicklist+ Import Settings).

Now that that’s out of the way, you’re ready to scan!

Scanning with ClickScan

  1. Turn on and connect your scanner to your computer.
  2. Open the PaperStream ClickScan.
  3. Ensure that “Follow Advanced Settings” is selected for each of the options except the last one, which should be set to “JPEG.”
  4. Place your cards in the scanner, no more than 40-50 at a time.
  5. Open Advanced Settings and make sure that the configuration profile you created above is selected.
  6. Click the large blue “Scan” button.
  7. Preview the images in the following window.
  8. Choose a file name to be applied:
    • We recommend the format “YYYYMMDD”, much of which is included by default.
    • Each image will have this string appended to the front of its filename, followed by “_[XXXX]”, where XXXX is the numbered sequence of the file in the batch.
    • In other words, each image in the batch will be 20241031_001.jpg, 20241031_002.jpg, etc.
  9. Save the scanned images.
  10. ClickScan will automatically open the destination folder where the images were saved.

You now have a folder of card images that you can easily import into Quicklist+!
